Website information
Privacy Policy
Effective October 29, 2026
Balcones HR is operated by empathi Holdings LLC in Texas. In this policy, “we,” “us,” and “our” refer to empathi Holdings LLC doing business as Balcones HR.
This policy explains how we handle information collected through balconeshr.com and initial business inquiries. Investigation records are handled separately under the applicable engagement arrangements and legal requirements. This website is intended for business inquiries, not for submitting employee complaints or investigation evidence.
Information we collect and why
When you submit the contact form, we receive your name, company, email address, optional phone number, and message. If you contact us by email or phone, we receive the information you provide. We use this information to respond, discuss potential services, maintain business correspondence, and manage related requests.
Our website and service providers also process technical information such as IP addresses, browser and device information, requested pages, timestamps, and security signals to deliver the site, prevent abuse, and troubleshoot problems. The contact form uses Cloudflare Turnstile for spam protection and sends inquiries to our business email through Zoho Mail. It does not accept file uploads or require a website account.
Please keep initial inquiries general. Do not include employee names, detailed allegations, medical information, or sensitive records. If we begin an engagement, we will explain how to share case information through the agreed process.
Analytics, cookies, and your choices
We use Cloudflare Web Analytics to understand visits, page views, referral sources, and website performance. This service does not use analytics cookies or local storage to track visitors.
With your permission, we also use Google Analytics 4 (GA4) to measure page visits, clicks on “Let’s Discuss,” and successful inquiry submissions. GA4 uses cookies and processes usage information, browser and device information, and approximate location. We do not send contact-form fields or investigation details to analytics. Google signals and advertising personalization are disabled, and we do not use advertising pixels or session recordings.
GA4 loads only after you select “Allow analytics.” Choosing “No thanks” leaves GA4 off and does not prevent you from using the site or contacting us. You can change your choice through “Analytics choices” in the footer. Withdrawing permission stops further GA4 collection in that browser and removes the site’s GA cookies; it does not automatically delete information previously collected.
We store your preference in your browser’s local storage for six months. GA cookies, including _ga and cookies beginning with _ga_, are configured to expire after six months and may renew during consented visits. Cookie expiration is separate from how long analytics reports are retained. Clearing browser storage or using another browser may cause us to ask again. Browser settings can also restrict cookies, although blocking security features may affect the contact form.
For more information, see how Google uses information from sites that use its services, Cloudflare Web Analytics, and Cloudflare’s privacy policy.
When information is shared
We use Cloudflare for hosting, website security, spam prevention, and cookieless analytics; Zoho Mail for business email and inquiry delivery; and Google for analytics when you permit it. These providers process information needed to supply their services. Their processing may occur in the United States or other countries where they operate.
We may disclose information when required by law or valid legal process, to protect legal rights or website security, or to professional advisers assisting with those matters. We do not sell website or inquiry information or share it for cross-context behavioral advertising.
How long we keep information
We review general business inquiries quarterly and delete inquiries that have not resulted in an engagement once more than 12 months have passed since the last substantive contact, unless retention is needed for a legal obligation or dispute. If an inquiry becomes an engagement, it is handled under the applicable client-record retention arrangements. Investigation records follow a separate retention schedule. Routine deletion is suspended when a preservation obligation applies.
Privacy requests
You may contact us to ask about, access, correct, or request deletion of personal information you have provided. Depending on your location and applicable law, you may also have rights to obtain a portable copy, object to or restrict certain processing, or appeal a decision about a request. These rights are subject to applicable exceptions, including legal preservation requirements and the rights of others.
Send requests to [email protected] or call 214.534.8253. We may ask for information reasonably necessary to verify your identity or an authorized representative’s authority. Please do not send sensitive identity documents unless we arrange a suitable method. We will respond within the time required by applicable law and explain any limitation on fulfilling your request. To request review of a denial, contact us using the same details and identify your request as a privacy appeal. Where applicable, you may also contact your state attorney general or other privacy regulator. We will not discriminate against you for exercising applicable privacy rights.
Requests involving investigation records may need to be coordinated with the client organization and assessed under the obligations that apply to those records.
Security
The website uses HTTPS, and the contact form uses server-side validation and spam protection. No website, email service, or transmission method can guarantee complete security. Please use the agreed case management process for sensitive investigation information.
Children’s information
This business website is not directed to children under 13, and we do not knowingly collect their personal information. Contact us if you believe a child has submitted information through the website.
Changes and contact
We may update this policy as our practices or requirements change. We will publish the revised policy here with an updated effective date and provide additional notice when required.
